Section 1 - General provisions

  • These General Terms and Conditions ("GTC") apply to participation in the above-mentioned event.
  • Any deviating terms and conditions of the participant shall not apply.
  • We reserve the right to make changes and additions to these GTC, which shall become effective upon publication on this website.
  • Participants must be at least 18 years of age to register for the event.

Section 2 - Registration

  • Registration via the service partner's conference management platform "Converia" constitutes a binding registration for the event.
  • The contract for participation in the event is concluded upon written confirmation of registration (including invoice for the participation fee) by email from the service partner or the organiser. Changes and/or additions to the participation contract must be made in writing. The same applies to the waiver of this written form requirement.

Section 3 - Right of withdrawal

  • If the participant is a consumer within the meaning of § 13 of the German Civil Code (BGB), they may revoke their contractual declaration in writing within 14 days without giving reasons. The revocation policy in the appendix is an integral part of the General Terms and Conditions.
  • The right of withdrawal expires prematurely if the organiser, with the express consent of the participant, begins to provide the service before the expiry of the withdrawal period or if the participant initiates the provision of the service themselves.

Section 4 - Participation fee / payment terms

  • The participation fee stated in the confirmation of registration in accordance with § 2 (2) is the binding price for the participant for participation in the event and the associated services provided by the organiser in accordance with § 5 and includes any applicable value added tax.
  • Payments must be made in euros. Payment can be made by bank transfer to the account specified in the invoice or in cash on site at the organiser's central payment office.
  • The participation fee is due for payment within 14 days of receipt of the invoice contained in the registration confirmation in accordance with § 2 (2). If payment is not made or not made in full within the above-mentioned period, the organiser may withdraw from the contract. If the organiser withdraws from the contract, the participant loses the right to participate in the event. Any fees incurred by the transfer shall be borne by the participant.

Section 5 - Scope of services provided by the organiser

  • The scope of services provided by the organiser with regard to the event, including the costs covered by the participation fee, is set out in the event-related information documents, any registration forms and the confirmation of participation within the meaning of § 2 (2).
  • We expressly reserve the right to make changes to the event programme at short notice that do not affect the organisation and character of the event, including the commissioning of substitute speakers; such changes do not entitle participants to withdraw from the event. There is no entitlement to a full or partial refund of the participation fee. The organiser shall notify participants of any changes in good time.
  • If a participant does not make use of all or part of the services offered by the organiser in accordance with the contract, there shall be no entitlement to a (proportional) refund of the participation fee.

Section 6 - Cancellation of the event / changes to dates

  • If the minimum number of participants specified by the organiser for the respective event is not reached or if the event cannot be held on the planned date for other urgent reasons, the organiser is entitled to postpone or cancel the event and any accompanying and evening programmes or to combine them with other events.
  • The organiser shall inform participants of cancellations or changes to dates without delay via the email address provided when registering for the event.
  • If an event is cancelled, the organiser shall refund any participation fees paid.
  • If the date is changed, the participant is entitled to withdraw from the contract. If the right of withdrawal is exercised, any participation fees paid will be refunded by the organiser.

Section 7 - Withdrawal, cancellation

  • Declarations by the participant regarding withdrawal from the contract or cancellations must be made in writing or by email (icca2026@uni-erfurt.de ) to the organiser.
  • The following withdrawal/cancellation conditions apply:
  1. In the event of withdrawal/cancellation by 15 August 2026, the participation fee will be refunded, subject to a processing fee of 80% of the invoice amount.
  2. In the event of withdrawal/cancellation by 25 August 2026, the participation fee will be refunded, subject to a processing fee of 50% of the invoice amount.
  3. In the event of withdrawal/cancellation after 1 September 2026, the participation fee will not be refunded.

Section 8 - Liability

  • The organiser shall be liable without limitation for culpable breaches of essential contractual obligations by itself, its employees or vicarious agents, i.e. obligations that enable the proper execution of the contract in the first place and on the fulfilment of which the participant may regularly rely . Otherwise, the organiser, its employees and vicarious agents shall only be liable for damages caused by intent and gross negligence. The above limitations or exclusions of liability shall not apply in the event of injury to life, limb or health.
  • If the culpable breach of an essential contractual obligation is not intentional or grossly negligent, the organiser's liability shall be limited to the foreseeable damage, up to a maximum of the participation fee; furthermore, liability for consequential and indirect damage is excluded.
  • Liability for damage and accidents occurring during arrival and departure to or between the event locations, as well as for the personal belongings of participants, is excluded.
  • In the event of force majeure, e.g. natural disasters, the organiser accepts no liability for any kind of financial or other damage suffered by participants.

Section 9 - Supplementary provisions

In addition to these General Terms and Conditions, the General Terms and Conditions of Converia GmbH, available at https://hi.converia.de/frontend/index.php?page_id=1737, apply to the use of the "Converia" conference management platform by participants.

Section 10 - Final provisions

  • The law of the Federal Republic of Germany applies, excluding the UN Convention on Contracts for the International Sale of Goods.
  • Should individual provisions of these General Terms and Conditions be or become invalid, the validity of the remaining provisions shall remain unaffected.
  • The place of performance is the registered office of the organiser.
  • The place of jurisdiction is Erfurt, insofar as this is legally permissible.

 Cancellation policy

If the participant is a consumer within the meaning of § 13 of the German Civil Code (BGB), they may withdraw from the contract within 14 days without giving reasons in writing, e.g. by letter or email, stating the ticket ID to the service partner

The period begins upon receipt of this notification in writing. To comply with the cancellation period, it is sufficient to send the cancellation before the expiry of the cancellation period.

In the event of an effective revocation, the services received by both parties must be returned and any benefits derived (e.g. interest) must be surrendered. If the participant is unable to return or surrender the service received and any benefits derived (e.g. advantages of use) in whole or in part, or only in a deteriorated condition, they must compensate the organiser for the loss in value. Obligations to refund payments must be fulfilled within 30 days. The period begins for the participant with the dispatch of the declaration of revocation and for the organiser with its receipt.
