General Terms and Conditions (GTC) for participants of the XVIII. Symposium on Sleep & Breathing from 2-5 August, 2026, Regensburg, Germany
1. Scope of Application
These General Terms and Conditions apply to the business relationship between Valentum Kommunikation GmbH on behalf of the Scientific Local Steering Committee of the Meeting, hereinafter referred to as the “Organizer,” and the participants in connection with the XVIII. Symposium on Sleep and Breathing, to be held from 2 to 5 August 2026 at Marinaforum in Regensburg, Germany.
The conference and exhibition program for the event will be communicated via the official website of the congress at www.sleepandbreathing.de and updated there regularly. Subject to change.
2. Registration and Conclusion of Contract
Registration for participation becomes binding upon submission of the form. By completing the registration form, the participant bindingly accepts these General Terms and Conditions as well as the Terms of Use of the Converia payment system. An admission certificate is only issued upon confirmation of participation by the Organizer.
The Organizer reserves the right to deny participation to individual persons in justified individual cases or under special circumstances.
3. Registration Fees
Participation in the Symposium is subject to a registration fee. A reduced rate will be available for young researchers. The fees cover the costs of the social program and allows to organize evening activities for all participants.
Scientific Symposium (2-5 August 2026)
Tickets for participants of the Scientific Symposium include the participation in the full symposium program, conference catering as well as both evening events and will be available under the following conditions:
- Symposium - Experienced Researcher's Rate: 476,00 €, including VAT
- Symposium - Young Researcher's Rate: 297,50 €, including VAT
From 3rd July, the fees will be raised up to 595,00 € (Experienced Researcher) and 416,50 € (Young Researcher).
Evening Events (3 and 4 August 2026)
Tickets for the Evening Events – provided for accompanying persons and sponsors – will be available under the following conditions:

Evening event, 3 August 2026 (Castle Brewery):

The registration fee must be paid upon invoicing in accordance with the payment terms specified therein. The participant bears all bank charges for outgoing bank transfers (SWIFT payment order – “OUR”)
Travel, accommodation, and other incidental expenses are not included in the registration fee, unless expressly stated otherwise.
4. Withdrawal / Cancellation by Participants
Cancellations of binding registrations must be received in writing (e.g., via email) by the conference Organizers to be legally valid.
The cancellation fees calculated on a sliding scale base on the date the cancellation is received by the organizer:
- If you cancel your registration more than 12 weeks before the start of the event, 50% of the fees will be refunded.
- Between 12 and six weeks prior, 25% of the fees will be refunded.
- Six weeks or less before the event, your financial obligations remain in full.
This policy applies mutatis mutandis to partial cancellations.
If there are compelling reasons (e.g., a doctor’s note) preventing participation, the cancellation fee will be reduced to the costs already incurred by the Organizer at that time. In individual cases, the Organizer may also waive all claims entirely. However, no claim may be asserted in this regard.
5. Cancellation or Modification of the Event
If the event must be cancelled due to force majeure (e.g., a pandemic-related ban on events or serious [e.g., legal] restrictions on holding the conference), any participation fees already paid will be refunded. The Organizer or the institutions acting on its behalf have no further obligations toward the participant.
Registrations, however, remain valid if the event must be postponed. In this case, however, the participant has the right to cancel their participation free of charge within 14 days of the announcement.
6. Data Protection
By registering for the event, the participant consents to the Organizer electronically storing the provided data for the purpose of contract fulfilment and sharing it with service providers and, if applicable, event partners associated with the registration. The processing of personal data is carried out in accordance with applicable data protection regulations. Further details can be found at www.sleepandbreathing.de/data-privacy.
7. Side Agreements
Any side agreements to the contract or these General Terms and Conditions are legally binding only if confirmed in writing by the Organizer.
8. Final Provisions
Claims by participants against the organizer expire six months after the end of the event, unless otherwise required by law. If individual provisions of the Terms and Conditions of Participation are invalid, the validity of the other provisions shall remain unaffected. The invalid provisions must be amended in writing in such a way that the intended purpose is achieved. German law applies to all legal relationships between the Organizer and the Participants – even if the Participant has his or her place of residence or business abroad.
The place of performance and jurisdiction is Regensburg, Germany.
