General Terms and Conditions for the conference "Impact of Big Data and AI analytics on healthcare"

I. General
These general terms and conditions (hereafter referred to as ‘Ts&Cs’) apply to the electronic ordering of all forms of tickets for the conference “Impact of Big Data Analytics on healthcare” taking place on 19 and 20 November 2026 (hereinafter the “Conference”). The Conference takes place on the premises of the University of Luxembourg located at 2, place de l’Université, L-4365 Esch-sur-Alzette and registered with the Registre du commerce et des sociétés (Trade and companies register) under the number J20 (hereinafter the “University”).
The University has appointed Converia as service provider for the ticket payment process of the Conference. Converia enables the payment of tickets for the Conference.
By ordering tickets for the Conference, the Attendee accepts these Ts&Cs. Any other terms and conditions have no validity.
II. DEFINITIONS
Attendee means any natural person, of Luxembourgish or foreign nationality, who would register to the Conference.
Personal data means in accordance with article 4 of the Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016, any information relating to an identified or identifiable natural person; it is deemed to be an « identifiable natural person » a natural person who can be identified, directly or indirectly, more specifically by reference to an identifier, as for instance a name, identification number, location data, online identifiers or one or more specific elements relating to such person’s physical, physiological, genetic, psychic, economic, cultural or social identify.
III. Conclusion of contract
- Conclusion of contract
When ordering a ticket online, the Attendee is invited to pay the fee by credit card. The contract regarding the sale of ticket(s) becomes binding when the user clicks “Payment” in the order window. The ticket fee and statutory value-added tax are shown on the screen in the “Order summary” field. Afterwards, the University will send an email to the address provided by the Attendee as part of the order. The email contains a confirmation of the order. The confirmation of the registration is the entrance ticket to the Conference event.
- Admission regulations
Attendees are obliged to check received confirmations for errors regarding price, date, event, and venue. The Attendee shall be solely responsible for safeguarding the confirmations and for bringing them to the Conference.
Tickets can only be purchased for personal use. Purchase for profitable repurchase (commercial use) is prohibited.
Attendees can provide a hard copy. The validity of the ticket is checked at the entrance. A multiple access to the event by duplicated tickets is thus excluded.
Alternatively, the tickets can be saved as a digital version on a mobile. In this case, the digital ticket will be checked at the entrance point.
The Attendee will receive a badge enabling entry to the Conference. The badge may not be passed on to other persons. In the case of lost tickets, no claims for a refund of the attendance fee, or for a replacement ticket, will be entertained. The reproduction of tickets is not permitted. The Attendee is obliged to hold on to tickets in such a way as to prevent any misuse. The Attendee will be held responsible for misuse of the tickets.
In the event that the Attendee has purchased concessionary rate tickets (e.g. Student Ticket), the Attendee shall produce the necessary proof of eligibility when entering the event. Tickets are to be presented at registration upon entering the venue.
- Terms of payment and due date
The Attendee is invited to pay by credit card.
Payment is due upon booking the Conference ticket.
In the event of late payment or chargeback by credit card, the University reserves the right, but does not undertake, to withdraw from the contract or refuse participation in the Conference event until the outstanding amount has been paid. Payments are made according to the applicable terms and conditions of the external third-party payments service provider, contracted by the University for this purpose.
- Right of withdrawal
According to Directive 2011/83/EU of the European Parliament and of the Council of 25 October 2011 – Chapter III – Article 16 (l), the Attendee, as a customer, will have no right of withdrawal in respect of distance and off-premises contracts, since the Conference is the provision of a service related to a leisure activity and the contract provides for a specific date or period of performance.
- Refunds and no-shows
Refunds of attendance fees will not be entertained in the case of no-shows. However, the Attendee is free to transfer his/her/their ticket to another person named by him/her/them at any time before the Conference starts (please refer in this case to the organizing committee (lcsb.events@uni.lu).
The Conference reserves the right to change speakers and topics. Changes to topics, speakers or venue are also no sufficient reason to withdraw from the ticket purchase and cannot lead to the refund of any amount paid by the Attendee if the Conference is not cancelled.
- Postponement or cancellation
The University reserves the right to cancel or postpone the event.
In the case of cancellation of the Conference, Attendees who have already bought tickets will be notified via email and the entrance fee will be refunded.
In the case of postponement of the Conference, the University will contact the Attendees who have purchased tickets via the email provided at the time of purchasing the tickets. In such cases the Attendee may choose to attend the event on the rescheduled date or to receive a refund of the attendance fee.
The Attendee must advise the University of his or her decision within 14 days of receipt of the information regarding the postponement. Otherwise, he or she has no claim to a refund of the ticket fee.
- Force Majeure
The University may not be held liable and no refund will be due if the performance of the Contract is delayed or prevented by the occurrence of an event of force majeure.
For the purpose of the application of the present Ts&Cs, the expression « force majeure » shall have the meaning as specified in article 1218 of the Luxembourg Civil Code.
- Certificate of attendance
The University may issue certificates of attendance.
The University reserves the right to invoice the fees incurred for such certificates after informing the Attendee of the applicable rates.
- Intellectual property
The contents of the Conference (attended in person or remotely) are protected works under the national and international provisions on copyrights.
The complete contents and support materials, under any form whatsoever, will remain the ownership of the University and of their author. They may not be used, transformed, or reproduced without prior express authorization.
- Personal data
In the context of the contractual relationship with the Attendees, the University undertakes to comply with the applicable regulation in the field of the processing of Attendees’ Personal data, in particular, the Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016.
The University undertakes to process Personal data only for the purposes of organizing the Conference as well as promoting its events and to not sell, market or transfer them to third parties.
The University undertakes to warrant the confidentiality of processed Personal data.
The University undertakes to make sure that the persons authorized to process Personal data in relation to the Conference:
(a) undertake to comply with the confidentiality or are subject to an appropriate legal confidentiality obligation;
(b) receive the necessary training with regard to the protection of Personal data;
(c) take into account, with regard to the organization of the Conference, the principles of the protection of Personal data.
The University undertakes to reply within the deadlines specified in the Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016 to the requests of data subjects in the event they are exercising their rights regarding the Personal data that are the object of the present Ts&Cs.

- Lost & Found
In the event of having lost an item while attending the Conference, Attendees can contact the University via email to lcsb.events@uni.lu with an exact description of the item.
- Amendment of the Ts&Cs
The present Ts&Cs are published on the website of the University (https://wwwfr.uni.lu).
The University reserves the right, at any time, to unilaterally change, amend, add, or delete parts of the present Ts&Cs.
- Nullity of a provision
Should one or more provisions of these Ts&Cs be declared invalid for any reason whatsoever, such circumstance will not impact the validity of the remaining terms and conditions.
- Applicable law and jurisdiction
These Ts&Cs are exclusively subject to Luxembourg law.
Any dispute arising from these Ts&Cs or relating thereto, that the parties could not settle amicably, shall be brought before the courts and tribunals of the jurisdiction of the registered office of the University.
