  1. Purposes and legal basis of data processing

Registration for the event: The data you provide when registering for the event will be used by us to organise and process the event. The legal basis for this is the processing of the contract to be concluded regarding participation in the congress (Art. 6 para. 1 lit. b GDPR). The following information is required to register for the event:

  • Access data (username, password),
  • name,
  • address,
  • email address,
  • information about memberships,
  • lecture language,
  • when registering for the attendance events, also the choice of meal.

You can also voluntarily provide us with information about your current activity (company, department, specific activity), name supplements if applicable and your telephone number. The collection of this data is based on our legitimate interest in getting to know our participants better and thus to better organise the event (Art. 6 para. 1 lit. f GDPR).

In order to make a binding booking for the event, it is also necessary to specify a means of payment. For each means of payment, the value of the service and our contact details as creditor will be processed. Depending on the means of payment, the following data will also be collected or provided by you during the bank transfer.

  • Bank transfer: Name of the account holder, IBAN, bank institute.
  • Paypal: This service is offered to us by PayPal (Europe) S. à.r.l. et Cie, S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. The following information is collected for the execution of the payment: the payment amount, the user's device information, technical usage data and the user's geolocation data. Paypal also collects the following information in your Paypal account: Your first name, last name, address, email address and telephone number.   • Credit card payment (VISA/Master Card): First name and surname, address, credit card number, cardholder, expiry date. The technical processing is carried out via Computop, offered by Computop Paygate GmbH with its registered office at Schwarzenbergstraße 4, 96050 Bamberg, Germany.

Data is passed on to Paypal and the credit card payment companies in order to pay for the contract concluded with us (Art. 6 para. 1 lit. b GDPR).

Registration takes place via the conference management & ticketing platform "Converia", which is provided to us by Lombego Systems GmbH. This company receives and processes your data on our behalf and processes your data within Germany. Verification of membership status: If you indicate during the registration process that you are a member of the Ärztegesellschaft Heilfasten & Ernährung e. V., your first and last name will be transmitted to the Ärztegesellschaft Heilfasten & Ernährung e. V. for verification. They will inform us whether you are actually a member. You will then receive the corresponding discount on your ticket. We process this data in order to grant you the corresponding discount on your ticket, i.e. your contract (Art. 6 para. 1 lit. b GDPR).

Within the scope of this processing, Ärztegesellschaft Heilfasten & Ernährung e. V. and Buchinger Wilhelmi Development & Holding GmbH are joint controllers for the processing. A corresponding agreement has been concluded between the parties. The essential regulations in relation to you are as follows:

  • If you wish to exercise your rights under the GDPR and assert them against Buchinger Wilhelmi Development & Holding GmbH or Ärztegesellschaft Heilfasten & Ernährung e.   • The data exchanged will only be used for the purpose of membership matching.

Implementation of the online event and subsequent viewing of the event (online): If you decide to participate in the online event or view the contributions online after the event, your data will be processed by us or on our behalf by the "Converia" platform of Lombego Systems GmbH.

It is technically necessary that your IP address, the type of device used, image and sound settings as well as chat messages and histories are processed to transfer the conference or contributions to your device. We process this data to make the booked event available to you online (Art. 6 para. 1 lit. b GDPR). Likewise, information is collected on videos already viewed via the platform, any pictures posted and professional details about you as well as the. This data is collected on the basis of our legitimate interest to better classify the participants (Art. 6 para. 1 lit. f GDPR).

Creation and publication of recordings: Photographs and films of the event in which you can be seen will only be taken by us and subsequently published if you have given us your consent to do so (Art. 6 para. 1 lit. a GDPR). By publishing the recordings, they can be accessed (almost) worldwide. With the services Instagram, Facebook, Google and LinkedIn, the data is also transmitted to the USA. These do not offer a level of data protection comparable to that of the European Union. In order to secure the data transfer, the providers have concluded the standard contractual clauses approved by the EU Commission with their respective parent companies.

  1. Deletion

Your registration data will be deleted one week after the end of the event, at the latest at the end of the following quarter.

The data technically required for the online event will only be transferred for the duration of the event and will not be stored permanently.

The photographs and film footage not used following the event will be stored for a period of three years and then destroyed.  The published photo and film recordings can in principle be permanently accessed via the published channel. Generally, they will also be removed from the respective media after three years as part of the regular revision process and deleted.

You have various rights according to the requirements of Art. 15 to 21 GDPR:

  1. Withdrawal of consent

You have the right to withdraw your consent with effect for the future at any time - without giving reasons. The lawfulness of the processing until the withdrawal is not affected by the withdrawal.

  1. Right of access:

You can request information pursuant to Art. 15 GDPR about your personal data processed by us. In your request for information, please specify the requested information to make it easier for us to compile the necessary data (this is not a specification of the GDPR). Please note that your right to information may be restricted under certain circumstances in accordance with the statutory provisions (in particular Section 34 BDSG).

If the information concerning you is not (or no longer) correct, you can request a correction in accordance with Art. 16 GDPR. If your data is incomplete, you can request that it be completed.

You can request the deletion of your personal data under the conditions of Art. 17 GDPR. Your right to erasure depends, among other things, on whether the data concerning you is still needed by us to fulfil our tasks.

According to Article 21 of the GDPR, you have the right to object to the processing of data relating to you at any time on grounds relating to your particular situation. This only applies insofar as the processing is based on Art. 6 para. 1 lit. e or f GDPR. However, we are not obliged to comply with this, for example if legal provisions oblige us to process data within the scope of our task fulfilment.

You have the right to receive the personal data concerning you that you have provided to us in a structured, common and machine-readable format. Furthermore, under the conditions of Art. 20 GDPR, you have the right to have this data passed on to another data controller by us without hindrance.

  1. Right to complain:

If you believe that we have not complied with data protection regulations when processing your data, you can lodge a complaint with a data protection supervisory authority. In particular, you can contact a supervisory authority in the member state of your place of residence, your place of work or the place of the alleged infringement. The authority responsible for us is the State Commissioner for Data Protection and Freedom of Information of Baden-Württemberg.
