General Terms and Conditions for the Mosbacher Kolloquium 

Services

The German Society for Biochemistry and Molecular Biology (GBM, Gesellschaft fuer Biochemie und Molekularbiologie e.V.) shall provide the services of which the nature and scope can be found on the conference website. Should exceptional circumstances occur, the GBM reserves the right to change speakers, the venue and the schedule of the program.

Bookings

Conferences must be booked via the online form provided by the GBM. Each booking becomes legally binding upon receipt and upon GBM's written confirmation. Once the booking has been processed, a confirmation with a link to the invoice will be sent to the participant.

Participation as a student or PhD student is only valid with the corresponding proof (student identification or similar). The proof must be valid at the time of the event and must be shown on request at the registration desk.

Payment and Invoicing

If you have not already paid by credit card or paypal during the registration process, the participation fees must be paid by bank transfer no later than two weeks after registration. Online bookings are made on an encrypted page to ensure data security.
A reminder will not be sent.
If the fee is not paid in time, the registration will be cancelled by the organizer.

From the 2nd invoice amendment received from the participant a fee for the additional effort of EUR 20 per amendment will be levied, independent of whether it deals with a new person/participant amendment or an address alteration or similar.

Cancellations

Conference participation: If a booking is cancelled until January 31 or in the event of illness (with medical certificate), the attendance fee is reimbursed less an administrative fee of EUR 30. If cancellation is made until March 8, the participant is charged EUR 60. After March 8, no refund of the conference fee is possible in case of cancellation.
Cancellations are only accepted in writing (i.e. by surface mail or e-mail). The relevant cancellation date is the date of receipt.
If a participant does not attend the conference or leaves before its end, the full attendance fee remains payable.
If the conference is cancelled by the GBM, any fees that have been paid will be reimbursed in full.
Participants are not entitled to further recourse towards the organizer.

Sponsorships and exhibitions: Cancellations up to 2 months before the conference are subject to a 20% administrative fee. If cancellation is made later, the sponsor/exhibitor is charged a fee of 100%. Cancellations are only accepted in writing (i.e. by surface mail or email). The relevant cancellation date is the date of receipt. If a sponsor/exhibitor does not attend the conference or leaves before its end, the full fee remains payable.

Substitute participants

We would be pleased to accept a substitute participant appointed by you until three weeks before the meeting. The substitute participant needs to be appointed by you in writing, which is free of charge. Any differences between attendance fees are either charged or credited to the participant. From the 2nd invoice amendment received from the participant a fee for the additional effort of EUR 20 per amendment will be levied.

Conference documents

Each participant will receive the relevant conference documents (printed conference program, online abstract booklet, confirmation of payment and participation).
The rights to the conference documents are held exclusively by GBM. Any further use of the documents requires written approval from GBM.

Sponsorships and exhibitions

We are offering sponsorship opportunities and/or exhibition facilities. They are processed in the order in which bookings are received.

Copyright

Any event documents on the meeting website or handed out are under copyright and are only intended for personal use. No permission is given for the reproduction, dissemination, processing or public presentation of any kind, and such permission must be obtained from the GBM in writing. Participants are not permitted to make sound or video recordings of the event.

The GBM is entitled to document its events by producing video and sound recordings of all kinds, to propagate or publish all photographic, video and film recordings as well as any technical reproductions arising from the contractual relationship, which GBM may do for its own promotional or editorial purposes, without geographical or material restrictions and without any restrictions in time.
Such images do not relate to specific individuals but reflect the character of the events, although individuals may be recognizable as participants of the event.

By registering for the event, the exhibitor/participant gives his/her assurance that he/she is aware of this circumstance and that he/she expressly consents to those photos, videos and other images to be created and published. If a participant is not in agreement with this, then he/she must inform the authorized photographer on site, during the event.
