General Terms and Conditions of Participation for the Event
These terms and conditions apply to participation in the Quantum Photonics Spotlight 2026 [QPS2026] event in Paderborn and the associated ticket sales by Converia GmbH. The organizer reserves the right to make changes and additions to the following regulations. These are valid by publication on this website.
General
The Institute for Photonic Quantum Systems (PhoQS) at Paderborn University (Warburger Str. 100, 33098 Paderborn) (hereinafter referred to as the organizer) is organizing the Quantum Photonics Spotlight 2026 [QPS2026], which will take place from 28 September to 02 October 2026 in Paderborn.
Registration
The company Converia GmbH is commissioned to carry out the participant administration, and the company Secupay AG will take over payment processing as a "ticketing partner".
Registration for Quantum Photonics Spotlight 2026 [QPS2026] is only possible via the portal of Converia GmbH. Bookings are made for the entire conference; no discounted 1-day tickets can be booked.

All participants (from 01.08.2026) 390 €
The fee can be reduced by redeeming a voucher code.
The conference fee includes participation in the conference, access to the electronic conference folder, participation in the conference dinner and catering during breaks (drinks and lunch).
Optional offers (guided tours of the Heinz Nixdorf MuseumsForum and the laboratories at the Paderborn University are limited and can be booked as long as places are still available ("First Booked, First Served"). There is no entitlement to the optional offers when booking a conference.
Payment and processing fees
Payment can be made by bank transfer, Google Pay, Apple Pay or credit card.
Outside of the regular booking process, Converia GmbH incurs processing fees, which are charged to the perpetrators:
- 20.00 Euro (net) per invoice for invoice rewrites and transfers
Cancellation
The cancellation of participation in the event must be declared in writing (letter or e-mail) to the organizer.
In the event of cancellation of participation after 30.08.2026, 50% of the participation fee will be retained, until 24.09.2026 80% of the participation fee. In case of cancellation after 25.09.2026, no refund of the participation fee can be made.
The payment refund can take up to 7 weeks.
Cancellation of the conference
If the event cannot be held due to force majeure, pandemic, disruptions at the venue or due to too few participants, the participants will be informed immediately. In this case, there will be no refund of the registration fees. A claim for reimbursement of travel and accommodation expenses as well as loss of work is excluded.
House rules
The main conference will take place in the "Heinz Nixdorf MuseumsForum (HNF)". The participant undertakes to observe the house rules of the HNF. A copy can be found under the following link: https://www.hnf.de/fileadmin/content/pictures/HNF/Besuch/HNF_Hausordnung_2019.pdf
Privacy policy
After registration, the data of the participants will be processed by the organizing committee of the organizer and the ticketing partner for the purpose of holding the conference. Personal data will not be passed on to third parties.
During the event, recordings will be made for reporting on the event as well as for public relations work in print and online media of the Paderborn University and the Institute for Photonic Quantum Systems (PhoQS).
Private recordings of the participants are not subject to the control of the organizer. For these recordings, the recording persons are responsible for compliance with copyright and personal rights.

Liability
The organizer is only liable for intentionally caused property, personal injury and property damage. Any further liability is excluded exclusively.
Applicable Law/Jurisdiction
Any dispute arising out of or relating to this Agreement shall be resolved exclusively by the competent courts located in Paderborn, Germany, and not by others.
Other
The event will be held in accordance with the hygiene regulations in force at the time of the conference.
