1. General

1.1. These General Terms and Conditions (“GTC”) apply to participation in and the associated ticket sales for the above-mentioned event, organized by the above-mentioned organizer. Any deviating terms and conditions are invalid.

1.2. The organizer reserves the right to make changes and additions to these terms. Any changes and additions become effective upon publication on this website or on the event website

 www.iafpa2026.uni-trier.de.

2. Registration and Conclusion of Contract

2.1. Registration for participation in the event is possible exclusively via the organizer’s conference management platform.

2.2. By providing the information on the website, the organizer makes an offer to conclude a purchase contract. The participant accepts this offer to conclude a purchase contract by completing the entire ordering process and clicking the “Complete booking subject to charge” button on the final order form. The participant’s effective acceptance of the offer requires that the participant has filled in all required fields on the order form (each marked with an “*”) and has accepted these Terms and Conditions.

2.3. The contract for participation in the event is not concluded until the organizer has confirmed the registration to the participants in writing via email (via the conference management platform). Any amendments and/or additions to the contract must be made in writing. This also applies to the waiver of the written form requirement.

3. Fees

3.1. The fee stated in the certificate of participation is the final price and is binding on the participant.

3.2. All prices include applicable sales tax where required.

3.3. If discounts are offered (e.g. to students, members of certain organizations, etc.), this is indicated separately. If no discounts are indicated, they cannot be granted. The discount must be granted upon presentation of proper proof (student ID, university confirmation, membership number). Proof must be provided at registration on-site. If proof cannot be provided, the participant must pay the difference between the full price and the discounted price at the start of the event in order to be admitted.

4. Payment

4.1 Payment shall be made via the methods specified on the website. Payment is due immediately upon conclusion of the contract and no later than the first day of the event.

4.2 Payment by invoice:

If the participant does not pay within 14 days of receiving the invoice, the organizer may withdraw from the contract. If the organizer withdraws from the contract, the participant thereby loses their right to participate in the event. Any fees incurred by the bank transfer shall be borne by the participant.

4.3. Payment by credit card:

When paying by credit card (MasterCard, Visa), the participant will be prompted to enter their credit card details during the payment process. The associated credit card account will subsequently be charged accordingly.

4.4. If a payment is charged back (e.g., due to insufficient funds in the account specified at the time of ordering), the participant must reimburse the organizer for any damages or expenses resulting from the chargeback. This includes a processing fee of EUR 25.00 per chargeback.

In the event of an unjustified credit card chargeback, a processing fee of EUR 40.00 will be charged.

In the event of a chargeback, the organizer is entitled to withdrawal from the contract. The participant thereby loses their right to participate in the event. This does not affect any further claims the organizer may have against the participant.

5. Right of Withdrawal

5.1. Cancellation Policy

Right of withdrawal:

Participants who are consumers according to Section 13 of the German Civil Code (BGB) may withdraw from the contract in writing (e.g., letter, email) within 14 days without stating a reason. To do so, they may send an email specifying the invoice number (Invoice No.). Participants should use the following contact information:

The period begins upon receipt of this notice in writing, but not until the contract is concluded and not until the organizer has fulfilled its information obligations pursuant to Art. 246 § 2 in conjunction with § 1 (1) and (2) EGBGB, as well as the obligations pursuant to § 312g (1) sentence 1 BGB in conjunction with Art. 246 § 3 EGBGB. To meet the withdrawal deadline, it is sufficient to send the notice of withdrawal in a timely manner.

Consequences of withdrawal:

In the event of a valid withdrawal, the services received by both parties must be returned, and any benefits derived (e.g., interest) must be surrendered. If the participant is unable to return the service received and any benefits derived (e.g., benefits of use) in full or in part, or only in a deteriorated condition, the participant must compensate the organizer for the loss of value to that extent. Obligations to refund payments must be fulfilled within 30 days. The period begins for the participant upon sending the notice of withdrawal and for the organizer upon its receipt.

5.2. The right of withdrawal expires prematurely if the organizer, with the express consent of the participant, begins providing the service before the end of the withdrawal period.

6. Withdrawal/Cancellation

6.1. If a participant does not wish to attend the event, they must notify the organizer of their withdrawal from the contract in writing or by email.

  1. a) If you withdraw or cancel before June 30, 2026, the registration fee will be refunded, minus a processing fee of 50 EUR.
  2. b) No refund will be issued for cancellations on or after July 1, 2026.

7. Services

7.1 Travel, lodging, and meals are not included in the event package unless services of this nature are expressly listed in the event description. If a contracting party fails to make use of properly offered services, in whole or in part, no claim for a refund of the participation fee arises.

8. Cancellation of the Event

8.1. For urgent reasons, the organizer may cancel the event with reasonable notice. This also applies to supporting and evening programs.

8.2. In the event of cancellation of the event, the organizer will refund the payment made in full. Any additional costs incurred by the participant will not be reimbursed.

9. Liability

11.1. The organizer is liable

  • for the breach of material contractual obligations in cases of intent and any negligence. The amount of liability is limited to the amount of the participation fee; liability for consequential and financial losses (e.g., lost profits) is excluded.
  • otherwise only for damages caused by intentional acts or gross negligence. Liability is limited to the amount of the contract sum; liability for consequential and financial losses (e.g., lost profits) is excluded.

11.2. These limitations and exclusions of liability do not apply to

  • claims under the Product Liability Act;
  • claims arising from fraudulent conduct by a contracting party;
  • claims arising from liability for guaranteed characteristics;
  • damages resulting from injury to life, limb, or health

11.3. Furthermore, the organizer and its vicarious agents shall not be liable for disruptions of any kind caused by circumstances beyond their control.

11.4. Liability for damages occurring during travel to and from the event venues, as well as for losses and accidents, is excluded to the extent permitted by law.

10. Final Provisions

12.1. The law of the Federal Republic of Germany shall apply exclusively, to the exclusion of the UN Convention on Contracts for the International Sale of Goods.

12.2. Should individual provisions of this contract be invalid or lose their validity due to a circumstance arising at a later date, the validity of the remainder of the contract shall remain unaffected. The invalid contractual provisions shall be replaced by a provision that most closely approximates what the contracting parties would have intended had they considered the matter in question. The same applies to any gaps in this contract.

12.3. The place of performance is the organizer’s registered office.
