This privacy policy applies to the use of the Converia registration and submission platform for the “Workshop on Fats and Oils as Renewable Resources for the Chemical Industry” organized by abiosus e.V. in cooperation with TU Dortmund University and Fachagentur Nachwachsende Rohstoffe e.V. (FNR).
The protection of your personal data is of particular importance to us. We therefore process your data exclusively on the basis of the legal provisions (GDPR, TMG).

General Information on Data Processing

Scope of personal data processing
Personal data of users is processed only to the extent necessary to provide the registration and submission services via the Converia platform and to organize the workshop. Processing is generally based on the user’s consent or as required for the performance of contractual obligations. -

Data erasure and storage period
Personal data will be deleted as soon as the purpose of storage ceases to apply.
Data collected for workshop registration and participation will be deleted two years after the last login to the Converia system, unless legal retention periods require longer storage.
Notes on Order Processing
The registration and submission platform is operated by Converia GmbH, Kaufstr. 2–4, 99423 Weimar, Germany.
Converia GmbH provides hosting, maintenance, and technical support for the software.
A data processing agreement according to Article 28 GDPR exists between the organizers and Converia GmbH.
Purpose of Data Processing
Personal data is processed for the following purposes:

Registration and participation management for the workshop

Submission and review of abstracts and preparation of the Book of Abstracts

Communication with participants before, during, and after the workshop

Compilation of the List of Participants (distributed only to registered participants)

Printing and distribution of the Book of Abstracts through the internal print service of TU Dortmund University

Issuing and management of invoices (payment via bank transfer or PayPal)

Documentation of the event (photo, video, and audio recordings)

Reporting to the co-funding partner Fachagentur Nachwachsende Rohstoffe e.V. (FNR)

Promotional use of photo and video material for future events organized by abiosus e.V.
Payment Processing
Payments are handled directly by abiosus e.V.
No payment data is processed or stored via the Converia system.
Participants may pay by bank transfer or PayPal.
No data is transmitted to Concardis GmbH or other payment service providers through Converia.

Provision of Data
Providing your personal data is voluntary; however, it is required for registration, abstract submission, and participation in the workshop. Without the provision of personal data, participation cannot be processed.
Photo, Video, and Audio Recordings
During the event, photo, video, and audio recordings will be taken for documentation and promotional purposes of abiosus e.V..
These recordings may be used for reports and announcements of future workshops on the website or related publications of abiosus e.V.
Participants who do not wish to appear in such materials may contact the organizers in advance or during the event.
