Scope

These terms and conditions apply to attendance at the Community Health Conference organized by the Department of Health Sciences at Bochum University of Applied Sciences and are accepted upon registration. The terms and conditions  govern the legal relationship between the participant and Bochum University of Applied Sciences.

Registration and participation fees

Registration for the Community Health Conference is carried out via the conference software Converia. Registration for the conference is open until 20 November 2026. The information on the website www.hochschule-bochum.de/chk/ does not constitute a legally binding offer by Bochum University of Applied Sciences to enter into an agreement.

A participation fee is charged for the Community Health Conference.

For the participant categories ‘Students’, ‘Community Members’ and ‘PATh Network Partners’, proof of eligibility may be required.

The registration fees cover attendance at the conference and refreshments during breaks (e.g. drinks, biscuits, fruit). Payment of the registration fee in instalments is not possible. Failure to attend individual days or sessions of the event does not entitle participants to a pro-rata reduction in the participation fee. Apart from this fee, the organizer does not charge any additional fees for registration. Participants will receive a payment confirmation and booking confirmation upon receipt of payment. The participation contract comes into effect upon receipt of the booking confirmation. Side agreements, amendments or additions are only valid if they have been confirmed in writing. 

Registrations are generally processed in the order in which they are received. Should the event already be fully booked and a registration therefore cannot be accepted, you will be notified immediately. In this case, no contract is concluded. Any payments already made will be refunded without delay.

Payment processing

Conference Management & Ticketing Platform Converia GmbH is in charge of payment processing.

The participation fee is due upon receipt of the invoice by email. For credit card payments, the amount will be debited from your account immediately. Cash payments are not accepted.

You will receive a payment confirmation and booking confirmation by email once the participation fee has been paid.

Cancellation, Refunds and Changes to Bookings

You may cancel your registration without giving any reason, in addition to the statutory provisions, in accordance with the following rules:

  • If cancellation is made by 31 October 2026 at the latest, the participation fee already paid will be refunded, less a processing fee of €20.00.
  • If cancellation is made on or after 1 November 2026, the full participation fee will be due.

Participants reserve the right to prove that the fixed costs were not incurred or were significantly lower.

The obligation to pay the (pro-rata) participation fees, including any applicable processing fee of €20, shall not apply if the person cancelling is replaced by another person who attends the Community Health Conference (rebooking).

Cancellings and rebookings must be notified in writing (e.g. by email to chk@hs-bochum.de).

Refunds will be issued after the event.

Changes and Cancellation of the Event

Bochum University of Applied Sciences reserves the right to cancel the Community Health Conference for good cause or in the event of force majeure. Furthermore, Bochum University of Applied Sciences reserves the right to reschedule or cancel the event if the minimum number of participants is not reached. In the event of cancellation, participants will be notified by email. In this case, Bochum University of Applied Sciences will refund any participation fees already paid. Further claims and claims for damages by participants (e.g. for reimbursement of expenses) arising from the cancellation of the event are excluded. This exclusion does not apply to personal injury suffered by participants. Nor does it apply in the event of wilful misconduct or gross negligence on the part of those acting on behalf of Bochum University of Applied Sciences.

HS Bochum reserves the right to make last-minute changes to the programme and to substitute speakers. Changes of this nature do not entitle the participant to withdraw from the contract or to a reduction in the participation fee.

Exclusion from participation

Bochum University of Applied Sciences is entitled to exclude participants from the Community Health Conference if their behaviour disrupts the smooth running of the event. This applies in particular if a participant disrupts the proceedings or if there is reason to fear that the smooth running of the event will be significantly compromised. There is no entitlement to a refund of any participation fees already paid.

Liability

HS Bochum accepts no liability for damage to property or financial loss arising in connection with the organisation of the Community Health Conference. This does not affect liability for personal injury, for the breach of essential contractual obligations and of obligations under the Product Liability Act, or for damage resulting from wilful misconduct or gross negligence on the part of those acting on behalf of the University of Bochum. Essential contractual obligations are those whose fulfilment is necessary to achieve the purpose of the contract and on whose compliance the contracting party relies and may reasonably rely. In the event of a breach of essential  contractual obligations, the claim for damages shall be limited to the typically foreseeable damage, provided that this was not caused intentionally or through gross negligence, unless the claim for damages relates to injury to life, limb or health.

Data Protection

The participant consents to the storage of their data for the purpose specified in the privacy policy. Bochum University of Applied Sciences undertakes to use this data exclusively for the organisation and administration of the event. Please refer to the privacy policy.

Place of Performance, Jurisdiction and Dispute Resolution

The Community Health Conference will take place on the premises of Bochum University of Applied Sciences (HS Bochum) on the Health Campus. The legal relationship between participants and HS Bochum is governed exclusively by the laws of the Federal Republic of Germany, with the exception of the UN Convention on Contracts for the International Sale of Goods. The place of jurisdiction for all disputes arising from this legal relationship is Bochum. Bochum University of Applied Sciences is neither willing nor obliged to participate in dispute resolution proceedings before a consumer arbitration board in accordance with the Consumer Dispute Resolution Act (VSGB).

Severability clause

Should any provision of the above terms and conditions be invalid or incomplete, it shall be replaced by a provision that is valid and reflects the presumed intention of the contracting parties. Should any provision of these terms and conditions be invalid, this shall not affect the validity of the remaining provisions.
