What Data do we collect?

In process of submitting your abstract we collect the following data:

  • Personal identification information (Name, email address, institution, adress)
  • Your abstract

How will we use your data?

Submitting process: Implementation and submission of abstracts, inclusion in the programme, list of names and institutions of participants (hereinafter referred to as list of participants), contact for publication of contributions and information on last-minute changes.

Registration: Implementation and confirmation of the registration, processing of the event. List of names and contact details of participants. Contacting about last minute changes

Legal basis

The general legal basis for data processing is Art. 6 para. 1 lit. a GDPR (consent).

Execution and confirmation of the submission of the abstract:
Art. 6 para. 1 lit. e GDPR in connection with § 3 HG NRW.

Recipient

  • Submitting process: First and last name, institution: (without information on telephone and e-mail) List of participants/program. The program will available for visitors during the event and published on the conference-homepage and will be stored there after the event. Thus it will be accessible for users of online and print media worldwide.
  • Registration: First and last name: Hochschule Bochum for catering billing purposes. 

Duration of storage

  • Until the event has been completed, i.e. approximately four weeks after the last day of the event the data will be deleted.
  • Submitting Process: Exceptions to this are the first and last name and the institution included in the program. The program is archived in the event archive of the conference homepage.
  • Registration:  Exceptions to this are first and last name, which are stored for 10 years for budgetary reasons for the settlement of the catering with the budget documents.

Your rights

Based on the processing of your personal data, you are entitled to the following rights:

  • in accordance with art. 15 GDPR to request information about your personal data processed by us. In particular, you can request information about the purposes of processing, the categories of personal data, the categories of recipients to whom your data has been or is or will be disclosed, the planned storage period, the existence of a right to rectification, erasure, restriction of processing or objection, the existence of a right of complaint, the origin of your data, if it has not been collected by us, as well as the existence of an automated decision-making, including profiling, and, where applicable, meaningful information about the details thereof;
  • in accordance with art. 16 GDPR immediately to correct inaccurate or complete your personal data stored by us.
  • in accordance with art. 17 GDPR to request the erasure of your personal data stored by us, unless the processing is necessary for the exercise of the right to freedom of expression and information, for compliance with a legal obligation, for reasons of public interest or is necessary for the assertion, exercise or defense of legal claims;
  • to request the restriction of the processing of your personal data in accordance with art. 18 GDPR, insofar as the accuracy of the data is disputed by you, the processing is unlawful, but you refuse to and we no longer need the data, but you want to use it for the purpose of asserting, implementing or assertion, exercise or defense of legal claims or you object to the processing of your data pursuant to art. 21 GDPR have objected to the processing;
  • in accordance with art. 20 GDPR to receive your personal data that you have provided to us in a structured, legal and machine-readable format, or to request the transfer to another responsible party;
  • in accordance with art. 7 (3) GDPR to revoke your consent once given to us at any time. This consequence that we may not continue the data processing based on this consent in the future. We would like to point out that the revocation of consent will not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.

Furthermore, you have the right to informally contact the competent supervisory authority for data protection at any time and to complain. You have the right, on grounds relating to your particular situation, to object at any time to the processing of data relating to you which is carried out on the basis of Art. 6 para. 1 lit. e. DS-GVO (data processing in the public interest).

 

 

Information on order processing

This website uses the conference management software Converia, which is provided by the company Converia GmbH. Converia GmbH hosts the software and provides the organiser with additional services such as software maintenance and support. Converia GmbH may therefore come into contact with personal data stored in the software in the course of this work and is therefore to be regarded as a processor.

An order processing contract has been concluded with Converia GmbH in accordance with Art. 28 GDPR.

Provision of the website and creation of log files

Each time our website is accessed, our system automatically collects data and information from the computer system of the accessing computer.

The following data is collected:

  • Information about the browser type and version used
  • The user's operating system
  • The user's internet service provider
  • The IP address of the user
  • Date and time of access

The legal basis for the temporary storage of data and log files is Art. 6 para. 1 lit. f GDPR.

  1. purpose of data processing

The temporary storage of the IP address by the system is necessary to enable the website to be delivered to the user's computer. For this purpose, the user's IP address must remain stored for the duration of the session.

The data is stored in log files to ensure the functionality of the website. We also use the data to optimise the website and to ensure the security of our information technology systems. The data is not analysed for marketing purposes in this context.

These purposes also constitute our legitimate interest in data processing in accordance with Art. 6 para. 1 lit. f GDPR.

The data is deleted as soon as it is no longer required to fulfil the purpose for which it was collected. In the case of the collection of data for the provision of the website, this is the case when the respective session has ended.

If the data is stored in log files, this is the case after ten days at the latest. Storage beyond this period is possible. In this case, the IP addresses of the users are deleted or anonymised so that it is no longer possible to identify the accessing client.

5 Possibility of objection and removal

The collection of data for the provision of the website and the storage of data in log files is absolutely necessary for the operation of the website. Consequently, there is no possibility for the user to object.
